Job Title:                        Office Assistant – Cleveland Pharmacy

SUMMARY - Successfully supports the office administration and performs administrative duties to support the Cleveland Pharmacy.

Education/Work Experience

  • High school diploma
  • Two years experience as an office assistant, receptionist, or other administrative professional, highly desirable

Other Qualifications

  • Experience with a multi-line switchboard console
  • Strong verbal and written communication skills
  • Word processing experience, and familiarity with fax and copy machines
  • Versatile and able to coordinate multiple tasks while attending company switchboard
  • Ability to maintain a cheerful, pleasant voice and attitude towards all incoming calls, visitors, and company employees
  • Possess good organizational and time management skills
  • Adaptability in understanding and willingness to perform new job processes
  • Ability to work well in a team setting


 I.Front desk support                                                                                                                              

  • Handling incoming calls in a courteous manner, answering questions and fielding callers using switchboard
  • Greet visitors and direct them to the appropriate person, keeping in mind that front desk  is the first Skilled Care Pharmacy employee to make on premise contact and create a friendly and professional impression.
  • Visitor sign in/out
  • Visitor name badge/security badge
  • Restroom & refreshment direction
  • Provide beverages as requested
  • Application acceptance
  • Front desk area maintenance
  • Oversees cleanliness and representation - weekly
  • Opening duties - daily
  • Accepts and coordinates distribution of front desk deliveries – daily
  • Holiday decorating
  • Visitor calendar updates

 II.Process Pharmaceutical and Medical Supply Returns                                                            

  • Review Return Manifest for proper signature and match listed seal numbers to seals on totes prior to opening totes.  Refer all improperly returned totes to supervisor for review and direction.
  • Examine all returned medications and supplies for expiration dating and tampering.  Place all outdated and/or tampered returns in proper receptacle for disposal.
  • Pull labels from all returned items to be processed; affix label to return sheet; count items corresponding to the label and enter count next to label on return sheet.
  • Forward each completed return sheet to supervisor for final control check and forwarding to I-Care Reimbursement Department for credit processing.
  • Place returned items in appropriate bin for future restocking in the Pharmacy.
  • Note:  When perpetual inventory system is implemented, returns processing will take place through the computer, with all information along with a return reason entered into the terminal.


  • Assist receiving with restocking returned items in the Pharmacy as needed.  

 IV.Other Duties                                                                                                       

  • Assist with physical inventory each time it is performed.

V.Scan, file and maintain medical record documents and delivery receipts         

  • Scans third copy and signed delivery receipts on a daily basis
  • Sort and file scanned delivery receipts by facility and chronological order
  • Sort and file medical record/telephone orders by facility and chronological order
  • Rotate and box files on a monthly basis

Maintain archives in an orderly manner in warehouse for easy retrieval and accountability
